Electronic Recordkeeping for GDPR & CCPA Compliance

Prove Your GDPR or CCPA Compliance with Website, Enterprise Collaboration, Mobile Text, and Social Media Archiving.

See How it Works

The Challenge

Ensuring use of websites, social media accounts, and enterprise collaboration platforms comply with the GDPR and CCPA.

The GDPR and CCPA exist to give control back to users over their personal data through new rights, such as the right to be informed and the right to erasure. These rights also apply to content gathered or communicated on website, social media, mobile text, and enterprise social networks.

The Solution

Improve information governance and take control of online data.

Advanced records management and information governance is key to complying with the GDPR and CCPA. Organizations need to know exactly how they collect user data, where it is stored, and how it can be deleted/exported.

Secure Data Archiving

Ensure that all the personal data you collect through online channels is securely archived.

Search and Data Export

Easily find and export all website/social media/enterprise collaboration data related to a particular user.

Retention Scheduling

Securely dispose of user data as soon as it is no longer needed.

White Paper: Exploring the Impacts of GDPR on The Use of Social Media Communications & Enterprise Collaboration Platforms

“The GDPR is no joke, and without proper systems and processes in place for compliance, companies can find themselves in heaps of trouble. Companies are at major risks as the penalties for non-compliance are significant—with fines up to 20M Euro or 4% of the total annual turnover of the preceding financial year, whichever is higher.”

Secure Data Archiving

Despite user data often existing on external platforms, regulations like the GDPR and CCPA ultimately makes organizations responsible for the information that’s gathered/communicated on their official channels. Because of this, companies need to take ownership of this data and make sure that it’s stored securely.

Pagefreezer allows organizations to capture and preserve this data in their own archives, helping them gain greater oversight with regards to the data that they hold. Companies can access every chronological version of their website, as well as all social media/enterprise collaboration content—every edited post and deleted comment.

Organizations can also rest assured that Pagefreezer takes data security and integrity very seriously. Pagefreezer has achieved the SOC 2 Type 1 & Type 2 reports, as an attestation that our services comply with SOC’s standards for operational security. Our management system is also ISO 27001:2013 certified, meaning that we consistently meet the security goals outlined in ISO 27001. This includes limiting data access only to those who are authorized, protecting data integrity by preventing unauthorized alteration, and offering customers reliable access to the data that they need. The data centers we use are SOC 1, SOC 2, and ISO certified.

Advanced Search and Data Export

GDPR and CCPA regulations give users crucial data rights, such as the right to access, the right to erasure, and the right to data portability. This means that companies need to have complete oversight and control of the data they collect—they need to know exactly what information they hold so that they can erase or provide the information if a user requests it.

Pagefreezer offers advanced search functionality that allows administrators to quickly find all content related to a specific user. Simply enter a user’s name and all posts, comments, reactions, etc. related to them will be displayed.

The Pagefreezer dashboard also allows administrators to export records in formats such as PDF and WARC. So if a user demands to see exactly what social media/enterprise collaboration data related to them a company holds, this information can easily be provided. All exports have the metadata, timestamps, and digital signatures needed to prove authenticity.

Retention Scheduling

One of the most effective strategies when it comes to complying with the GDPR and CCPA is simply disposing of user data as soon as it is no longer needed. With Pagefreezer, companies can set retention schedules that align with the policies of the organization—simply set how long data should be kept for, and information will automatically be removed from your archives once the retention period expires.

Additionally, Pagefreezer is also able to fulfill erasure requests, making it easy to completely erase a user’s data if there’s a privacy-related request.

Should you need to recover deleted data, we also offer a 30-day grace period during which data can be recovered.

To ensure that a piece of relevant data isn’t lost due to regular retention scheduling, Pagefreezer allows organizations to place data on legal hold. By placing content on legal hold, the normal retention schedule is overridden to protect that data and preserve it for litigation.
